Ecommerce accounting is harder than shop accounting. One day of sales can mean hundreds of small orders across Amazon, Flipkart, Meesho and your own Shopify or WooCommerce store, and the money reaches your bank days later, reduced by fees, returns and TCS. If your books do not reflect that, your profit figure is a guess.
What makes ecommerce accounting different
Settlements, not invoices, hit the bank. A marketplace pays you a net amount that bundles sales, commission, shipping fees, returns and tax collected at source. You need to match one bank credit to many orders.
Returns reverse sales. Returns and cancellations must flow back into sales, stock and GST, not sit in a spreadsheet.
Multiple channels, one stock. Selling the same item on three platforms means stock must be tracked once and reduced everywhere.
GST on every order. Ecommerce sellers need correct GST reporting and, where applicable, e-invoicing.
What your accounting software should handle
Marketplace data in, without retyping. Look for a connector for the channels you sell on. HisabKitab includes a marketplace connector for Amazon, Flipkart and Meesho on the Advance, POS, MFG and POS+MFG plans, and integrations with Shopify and WooCommerce.
Payment gateway matching. Gateway payouts (for example Razorpay or PayU) should be recorded and tied to the sales they settle.
Item-wise profit. Revenue is not profit. You need to see profit by item after fees and returns to decide what to keep selling.
Stock by item and location. Stock summary and multi-location support stop overselling.
GST, e-invoice and e-way bill support. Reports ready for filing save days every month.
Bank statement import. OCR import of bank statements removes manual entry when reconciling settlements.
A simple monthly workflow
Import or sync marketplace sales and returns.
Record the settlement credit in the bank ledger and match it to the orders it covers.
Book commission and shipping fees as expenses.
Check stock summary against what is actually in your warehouse.
Run item-wise profit and the GST reports, then hand them to your CA.
Common mistakes
Booking the marketplace payout as sales, which double counts and hides the fees.
Ignoring TCS credit.
Not recording returns until the next month.
Keeping separate stock sheets per channel.
Which plan fits
Small sellers with one company can start on Launch or Boost. Sellers who want the marketplace connector, e-invoicing at volume and OCR import should look at Advance. See the pricing page for current plan details, and book a demo to see your own marketplace flow in the product.
